Rota

I'll bring some rotas on the day, with each person's slots highlighted, but here it is in list form: who agreed at the last meeting to do what (I think!), and which spaces are empty for others to fill in.

If anyone wants to volunteer to take any of our slots, feel free!

Workshops

We agreed that there should be one SSF person in each workshop to ensure the following:

1. The meeting sticks to its allotted time. This will include letting the workshop facilitors / everyone when it's a half hour left, 15 minutes left, 5 minutes left.
2. Make sure that all key participants work together well; get them talking to each other.
3. Make sure it doesn't get either too rowdy, or too quite - e.g. prompting questions if its going dead. (Unlikely, I think!)

Session 1: 11.15-12.30
Dan: local power and politics

Front Desk

A vital task: we agreed that at least two people should be manning (personing?) the front desk, to talk to people coming in, tell them what's happening, and answer any questions. Thus far we have:

10.00 to 10.30: Jeff, Jase and SJ
10.30 to 11.10: EMPTY! NEED VOLUNTEERS!
11.15 to 12.45: Kev and (hopefully) Cuthbert
12.45 to 1.45: Alison and SJ
12.45 to 3.00: Alice and SJ
3.00 to 4.15: Dan and possibly Alison? Could do with another volunteer

Film Room rota

Someone on hand to make sure everything's running smoothly! Only two volunteers so far:

Session facilitators

We decided that each session needed one person just to be looking over the whole thing, to see if there were any problems, e.g. an emerging ruckus anywhere.

The three sessions were filled thus:

Session 1: SJ
Session 2: Dan
Session 3: Kev

Guidelines for plenary speakers

Alice, Kev and Alison all volunteered to say something at the welcome session. This is my interpretation of who was doing what: please check.

To speak from 10.30-40

Alice: I've allotted you a lot of stuff! Hope that's OK. Alison: could you do the 'nuts and bolts' bit? Kev: to flag the final session

We can agree this tomorrow, of course!

Alice:

1. Basic welcome: Sheffield is great, Sheffield people are great! SSF is not for profit, entirely voluntary, donations please!

Alison

1. Guide through day - refer to booklet; tell 'em to fill workshop sheets in; tell 'em about big bits of paper on wall - themes of these?

Alice:

1. Draw attention to Indymedia lab - ask people to look at Indymedia form in their booklet, and find time to write a story. [Mention that Indymedia is, as Steve said, "against a culture where media is a commodity to be consumed rather than something to participate in."]
2. Lantern Festival and CAN - mention date, and use as example of group springing from the SSF

Alison:

1. Announce next SSF meeting ["as you'll see on the back of the booklet..."] where stuff will carry on [Thursday 15th April, 7.30 - 9.30pm, Sharrow Community Hall, John Street, off Bramall Lane. The Hall is the door with an 'F' above it, I think.]
2. Mention information e-mail list - people to fill in feedback form if they wanna go on it.

Kev:
Flag the final session, where there will be the chance to form around working groups, and to discuss 'another Sheffield is possible' - what Sheffield do people want?

Other possible needs etc

Workshops

• Lots of paper for wall ideas, etc. (Kev has, in Sharrow)
• Small TV and video for workshops. (Kev can get one slightly dodgy quality set to Sharrow by Saturday am. Another option would be preferable.)
• Stationary: marker pens, scrap paper, biros

Film Room

• Laptop. (Kev has, in Sharrow)
• PC projector.
• Screen.
• Video player with SCART output.
• Portable DVD player with SCART (Damian)

IMC Lab

IMC providing equipment, with one possibility for transport, although it sounds like a backup would be needed.

Food

There will be a large quantity of food that needs moving from New Roots on Glossop Road in the morning.

Outside and Lobby

• Some posters on the outside of the building would let people know where we are. Kev has a couple of A2s in colour - could anyone laminate them for free?
• Suggest a desk in the lobby with:

  copies of programmes (see info pack);

  stickers and pens for name badges;

  sheets to sign up to a distribution list (suggest fortnightly letter?);

  tin for donations.

Transport

At present Alison has offered to drive equipment around in the morning. It sounds like a second driver would be almost essential. Suggestions? Steve might be able to help?
